Backup and recovery
Every copy of your data backed up and recoverable, wherever it lives, with how often it is backed up and how fast it comes back agreed per system, and restores tested so you are not finding out on the day.
Who it is for
Businesses in Teesside and the North East whose data is spread across an office server, laptops, Azure and Microsoft 365 mailboxes and files, and who are not certain what is backed up, how far back it goes or how long a restore would take. Most find out only when a folder has gone, a server will not start or ransomware has encrypted the lot.
What you get
An agreed answer, per system, to two questions: how much work could you lose, and how long could you be without it. Then backups that deliver that answer, encrypted and resilient, monitored by our team, with restores tested so we know they work. When something is lost, you call us, a person answers within three rings, and files, mailboxes or whole systems come back in the order your business needs them.
The problem
Data lives in many places now, from office servers to laptops, cloud systems and Microsoft 365 mailboxes. Most businesses find out what was not backed up only when they need to restore it.
The commonest assumption we meet is that email and files in Microsoft 365 are backed up because they are in the cloud. They are not, in the way most people mean. Microsoft runs a shared responsibility model: it keeps the service running and keeps copies so a failed server does not lose your data, but protecting that data against deletion, corruption, a leaver's account being closed or ransomware is your responsibility. The recycle bins have limits, and restoring a mailbox to how it looked last Tuesday is not something Microsoft offers.
The second assumption is that the backup in the cupboard works, often when nobody has ever restored from it. When ransomware encrypts a server, what decides the day is how old the backup is, whether the ransomware reached it too, and how many hours it takes to bring the systems back in the order the business needs them.
The old rule still holds: three copies of your data, on two different types of storage, with one off site. We build backups to it, agree the recovery objectives per system with you, and test the restores, so the first time you need one is not the first time it has been tried.

- Backup of systems in the Odyssey private cloud and in Microsoft Azure
- Backup of Microsoft 365 email, OneDrive, SharePoint and Teams files, separately from Microsoft's own copies
- Recovery objectives agreed per system: how often each is backed up, how far back you can go, and how fast it comes back
- Encrypted, resilient storage, with a copy off site, and backups monitored daily by our team
- Restores tested on a schedule, and files, mailboxes or whole systems recovered on request
What is included
| Included | Detail |
|---|---|
| Assessment | What data you hold, where it lives, what is backed up today and what is not, and which systems the business needs first after a failure |
| Recovery objectives | Backup frequency, retention and restore time agreed and written down per system, so expectations match what is configured |
| Backup | Automated backups of servers, computers, cloud systems and Microsoft 365, encrypted, with a copy held off site |
| Monitoring | Every backup job checked by our team, with failures investigated and fixed |
| Restores | Files, folders, mailboxes or whole systems recovered on request, in the order you need them |
| Testing | Restores tested on a schedule so we know they work, with the result reported to you |
Not included, or sold separately
- Backup on the Odyssey private cloud
- Already built in as standard for servers hosted there; this service covers everything else
- A full disaster recovery site
- Standby servers that take over within minutes is a separate design, priced per project; this service restores to your existing or replacement hardware or to our cloud
- Ransomware response
- Isolating and cleaning the infected devices comes first, under endpoint and identity protection or our incident response; recovery from backup follows
- Archiving for legal hold
- Long-term retention of email and files for a regulator or a dispute is configured separately to the backup retention you agree
- Third-party application data
- A line-of-business system hosted by its own vendor is backed up by that vendor; we check what they promise and tell you where the gaps are
How it is delivered
-
Find every copy of your data
Servers, laptops, cloud systems, Microsoft 365, and the application data held by other vendors. What is backed up today, how far back it goes, and what has never been restored from.
-
Agree the recovery objectives
For each system, how much work you could afford to lose and how long you could be without it, written down. The accounts server and the shared drive usually get different answers, and the backup is built to match.
-
Configure and encrypt
Backup jobs set up for every system, encrypted, with a copy off site, and Microsoft 365 connected so email and files are backed up outside Microsoft's own copies.
-
Test a restore
Before handover, a file, a mailbox and a system restored and timed against the objectives you agreed, and the same test repeated on a schedule afterwards.
-
Monitor, and recover when you need it
Every backup job checked daily by our team. When something is lost, call us: a person answers within three rings, and recovery starts with what the business needs first.

Questions people ask
Does Microsoft back up our Microsoft 365 data?
Microsoft keeps the service running and keeps copies so a failed server does not lose your data, but protecting it against deletion, corruption, a closed leaver's account or ransomware is your responsibility, and the recycle bins have limits. We back up Microsoft 365 email and files separately so they can be restored to a point in time.
How quickly can you restore?
As fast as the recovery objectives we agree for each system. We write down how often each one is backed up and how quickly it needs to be back, build the backup to match, and test a restore against it before handover.
What can you back up?
On-site servers and computers, laptops wherever they are used, systems in our private cloud and in Azure, and Microsoft 365 email, OneDrive, SharePoint and Teams files.
Will the backup survive ransomware?
That is what the off-site copy and the retention are for. A backup held on the same network as the server it protects can be encrypted with it; ours keeps a copy off site and retains versions, so you can restore to before the attack. The infected devices are isolated and cleaned first.
Do you test the backups?
Yes. A restore is tested before handover and repeated on a schedule afterwards, and the result is reported to you.
Do we need this if our servers are in the Odyssey private cloud?
Backup is already built in as standard on the Odyssey private cloud. This service covers everything else, such as on-site servers, laptops, Azure systems and Microsoft 365.
Can you check whether our current backups are good enough?
Yes. Our IT health check includes a review of your backup and disaster recovery readiness, with recommendations ranked by risk, and this assessment is the first step of the service.
What happens on the day something is lost?
You call 01642 661888 and a person answers within three rings. Tell us what has been lost or encrypted, which systems are affected and when they were last working. Once any affected devices are isolated and cleaned, files, mailboxes or whole systems are recovered in the order your business needs them.
